An Apology Letter That Says It Properly
An apology letter has to do three things a conversation often cannot: name the thing, take it without a 'but', and say what changes. Writing it down is not a way to avoid the conversation — it is a way to have it without talking over each other.
The three parts every apology has to have
Name the specific thing. 'I am sorry about last night' is easier to accept than 'I am sorry for everything', because it proves you know what happened.
Take it without a clause. The word 'but' turns an apology into an argument about who is more right, which is the thing you are trying to end.
Say what you will do differently, in a way somebody could notice. A promise about your feelings cannot be checked; a promise about a Tuesday can.
What to leave out
Your reasons. They may be true and they belong in the conversation that comes after, not in the paragraph where you are admitting the thing.
The other person's part. Even if there is one, a letter that assigns blame reads as a defence, and they will answer the defence instead of the apology.
Anything about how hard this is for you. Save it for someone else.
When writing beats talking
When the conversation keeps collapsing into the same argument, a letter holds the topic in place. They can read it at a time when they are able to, which is not always the moment you choose.
When you are the one who goes quiet. Some people apologise badly out loud and fine in writing; the format does not matter as long as it is honest.
When you need to be specific. Saying the real reason out loud is hard; typing it and reading it back is where most people finally get to the actual sentence.
